Overview

Thanks for using PitchResponse! We support the use of sending emails with any email account that supports sending emails via the SMTP protocol. Each email service potentially requires a different process and settings for attaching the account with some services requiring you to create an API Key or Application password to use SMTP, while others allow you to just use your regular account password. We have provided instructions for some of the most popular email services in the sections below.

Here are a few important points and notes to follow:

Additional Credentials – Many Email services require you to create separate credentials (username and/or password) to be able to send emails via SMTP for security purposes. In most cases, we will advise you of whether this is necessary in the instructions below. Depending on the service, they may need you to create one of the following, which you will use when adding the email service to PitchResponse – Note: you should write these values down and save them as often since you cannot access them again once they are generated:

A. SMTP-specific Username & Password

B. Application Password

C. API Key & Token

Placeholder Values – Any value inside of the instructions below that appears like this or similar is a placeholder for your actual account information or information that you will need to retrieve from your accounts, such as your email address or password. You should replace this value with your own account credentials or information.

Sending Test Emails – Please use the test email feature after connecting your account to PitchResponse to send a test email and ensure your email account and the settings you have entered are working properly before attempting to send any pitches.

Email Send Status – When connecting your own email service via SMTP, due to the limitations of the SMTP Protocol, PitchResponse does not receive the send status of any email that is submitted. To verify the send status of any email sent via PitchResponse, please log into the email service and check the status there.

  1. Microsoft Outlook.com Email:

With Microsoft’s Outlook.com Email accounts, you may need to generate an app-specific password to utilize SMTP. You can first try to use your own account email address and password. To do this, you will want to retrieve the SMTP Host Address by going into your Outlook Settings and under “Mail” -> ”Sync Email” locate the “Server Name” inside of the “SMTP Settings” area.

After that, you’ll want to add your email account to Sourcery with the following settings:

Email: From Name: SMTP Host Address: SMTP Port: Authenticated?: Yes Connection Type: TLS Username: Password:

If that does not work, you’ll want to generate an App Password for PitchResponse to use to send emails via your Outlook Account. To be able to add an app password, you will need to follow the following steps:

You’ll want to add an Application Password (also called an App Password) to allow PitchResponse to send emails using your Outlook Account. Here are the instructions for how to do that from Microsoft’s Help Center: https://support.microsoft.com/en-us/account-billing/manage-app-passwords-for-two-step-verification-d6dc8c6d-4bf7-4851-ad95-6d07799387e9 If you don’t see the App Password feature, if your email account is part of an organization, your administrator might not allow you to use app passwords and you may want to contact your organization’s administrator to verify this. If you are not part of an organization, you may need to turn on two-factor authentication to access your Outlook.com account in order to access the App Password feature. This can be accomplished according to the following instructions: https://support.microsoft.com/en-us/account-billing/change-your-two-step-verification-method-and-settings-c801d5ad-e0fc-4711-94d5-33ad5d4630f7. Once two-factor authentication is enabled, you’ll want to go back and complete step 1 of adding the application password.

Once you have the app password, you’ll want to use the app password that you just generated in place of your account password, and add your email account into PitchResponse with the following settings:

Email: From Name: SMTP Host Address: SMTP Port: Authenticated?: Yes Connection Type: TLS Username: Password:

  1. Zoho

With Zoho, you should be able to use your Account password, EXCEPT in the case where you have enabled two-factor authentication for your Zoho Email Account. In that case, you will need to generate an Application Password that you will need to use. Here are the instructions:

For Accounts with NO Two-Factor Authentication:

Add your email account into Sourcery with the following settings: Email: From Name: SMTP Host Address: smtp.zoho.com SMTP Port: 587 Authenticated?: Yes Connection Type: TLS Username: Password:

For Accounts with Two-Factor Authentication ENABLED:

Before adding your account to PitchResponse, you’ll want to follow these instructions to generate an Application-Specific password to allow PitchResponse to send emails using your Zoho Email Account: https://www.zoho.com/mail/help/adminconsole/two-factor-authentication.html#alink7.

Once you have the application-specific password, you’ll want to add your email account to PitchResponse with the following settings: Email: From Name: SMTP Host Address: smtp.zoho.com SMTP Port: 587 Authenticated?: Yes Connection Type: TLS Username: Password:
