04. Managing Project Keywords

Keywords are the foundation of how PitchResponse surfaces relevant opportunities for your project. Each keyword you add creates an alert that monitors incoming opportunities for matching content and surfaces them in the Matches view of your Opportunities section. Understanding how to set up and manage keywords well will directly affect the quality of opportunities you see.

What Project Keywords Do #

When a new opportunity enters the PitchResponse system, it is checked against every keyword alert defined in your project. If the opportunity content matches one of your keywords, it appears in the Matches view within Opportunities and can trigger a notification via email or Slack depending on your notification settings.

Keywords are set at the project level, meaning each project you manage has its own independent set of keyword alerts. This is useful for agencies or users managing multiple sites, as each client’s project can have a completely separate set of topics to monitor.

Adding Keywords to a Project #

Keywords can be added during initial project setup or at any time afterward. To add a keyword to an existing project, navigate to your project and locate the Keywords section. Click Add Keywords to create a new alert.

Each keyword alert consists of:

Include Keyword The single keyword or phrase an opportunity must contain to trigger this alert. You cannot add more than one include keyword per alert, so create a separate alert for each topic or phrase you want to monitor.

Exclude Keywords Optional. Any keywords that should cause an opportunity to be skipped even if it contains your include keyword. You can add multiple exclude keywords to a single alert to filter out angles or sub-topics that are not relevant to your project.

Once saved, the alert is immediately active and will begin matching new incoming opportunities.

An Important Note on Timing #

Keyword alerts only apply to opportunities that enter the system after the alert is created. If you add a new keyword today, you will not receive notifications for opportunities that were already in the system before that point. This means it is worth setting up your keywords as early as possible when starting a new project so you do not miss relevant opportunities in the early days.

Editing and Removing Keywords #

Existing keyword alerts can be edited or removed at any time from the Keywords section of your project. Click Edit on any alert to update the include keyword or adjust the exclude keywords list. Click Remove to delete an alert entirely.

If you edit an include keyword, the updated alert will apply to new incoming opportunities from that point forward. Previously matched opportunities will not be affected.
