01. Connecting Your Outreach Email: An Overview

PitchResponse sends your pitches and outreach emails directly from your own email account, not from a shared platform address. This means every email a journalist or exchange partner receives from you comes from your real email identity, which keeps your outreach authentic, builds your sender reputation over time, and ensures that any replies land directly in your own inbox.

Connecting an outreach email is required before you can send pitches through the platform. It is not needed to browse opportunities, search the media database, or access other parts of PitchResponse, but without it you will not be able to send anything.

What You Will Need #

PitchResponse supports two ways to connect an email account:

Gmail or Google Workspace If you use a Gmail address or a business email hosted on Google Workspace, this is the fastest option. Connection is handled through a standard Google authorization flow and takes just a few minutes. See 02. Google Suite / Google Workspace Email Integration for the full walkthrough.

SMTP If you use any other email provider, such as Outlook, a custom domain hosted outside of Google, or any other mail service that supports SMTP, you can connect it manually using your SMTP credentials. See 03. SMTP Email Setup for the full walkthrough.

Optional: Set Up Your Email Signature #

Once your email is connected, you can add an HTML signature that will appear at the bottom of outgoing pitches. This is optional but recommended, as a professional signature with your name, title, and website URL makes it easier for journalists and partners to identify and follow up with you. See 04. HTML Signature Setup for instructions.

Final Step: Assign Your Email to a Project #

Connecting an email to your account is not the last step. Before you can send pitches from within a specific project, you need to assign your connected email to that project. This allows you to use different email addresses for different clients or campaigns if needed. See 05. Last Step: Adding Email(s) to a Project! once your email is connected.
